Permissions & roles

  • Updated

Roles determine what users can see and do. For a full matrix of all permissions by role, see the role comparison table β†’.

Learner

Learners can play courses and paths. The best resource for learners is the learner’s guide β†’

They can also:

Coach

Coaches oversee their group. They can:

A coach does not inherit the permissions of an editor. Coaches can invite users from their group to a path session they created, but they cannot create a path unless they are also an editor.

Coaches cannot add or remove users. That requires at least the user admin role.

To allow a user to create a path and set up sessions to enroll learners without full admin access, assign them both the contributor and coach roles, or editor and coach roles, for their group.

Contributor

Contributors can create content, and update their own content. They can:

Contributors can only see their own results, regardless of whether they are the main author or a co-author of a course or path. Being assigned as main author of content does not grant access to other learners’ results. To allow a contributor to see all enrolled learners’ results for a specific path session, add them as a co-instructor of that session.

To allow a user to create a path and set up sessions to enroll learners without full admin access, assign them both the contributor and coach roles, or editor and coach roles, for their group.

Editor

Editors can create content, and update their own content and the content of their group. They can:

An editor does not inherit the permissions of a coach. Editors can create a path session, but cannot invite users from their group unless they are also a coach.

User admin

User admins handle basic user operations. They can:

Group admin

Group admins manage their group and all users within it. They have the combined permissions of a user admin, a coach, and an editor, and can also:

A group admin on a group is automatically added as a group admin in all its subgroups. The learner, coach, editor, and user admin roles, however, do not cascade.

Platform admin

Platform admins have access to everything, except plans and billing management. They have group admin permissions on all groups. They can also:

Owner

Owners can do all that platform admins can, and also:

There can be only one owner per platform.

Specific roles

Specific roles are specialized permissions assigned to a user in addition to their main role (such as learner, editor, or admin). They apply to a single course, path, or a specific function (for example, translating content or managing specific users).

Some specific roles can be given to any user. Others require the user to already hold a certain main role, such as editor.

Main author (course)

Main authors have the permissions of an editor on a specific course.

Only admins, editors, and contributors can be the main author of a course.

A contributor assigned as main author (including one assigned to content they did not originally create) can only see their own statistics. They do not gain access to other learners' results.

Co-author (course)

Co-authors have the permissions of an editor on a specific course, but cannot archive, delete or duplicate that course.

Any user can be added as a co-author of a course, but they are not automatically replaced if they are deleted.

A co-author's access to learner statistics depends on their group role. If they are an editor or admin in the course’s owner group, they can view the statistics of learners in that group. If they are a contributor, they can only see their own results.

Main author (path)

Main authors have the permissions of an editor on a specific path.

Only admins, editors, and contributors can be the main author of a path.

A contributor assigned as main author (including one assigned to content they did not originally create) can only see their own statistics. They do not gain access to other learners' results.

Co-author (path)

Co-authors have the permissions of an editor on a specific path, but cannot archive, delete or duplicate that path.

Any user can be added as a co-author of a path, but they are not automatically replaced if they are deleted.

A co-author's access to learner statistics depends on their group role. If they are an editor or admin in the path’s owner group, they can view the statistics of learners in that group. If they are a contributor, they can only see their own results.

If a co-author creates a session, they automatically become the instructor of that session (they are given instructor rights and given the right to edit that session), however, additional rights are needed to enroll learners or add the session to the group catalog.

Manager

Managers have extended permissions over specific users, regardless of those users’ groups. They can:

Any user can be added as a manager.

Main instructor and co-instructor of a path session

Instructors of a path session can edit or delete the session, even if they don’t belong to the owner group of the path session. They can:

Any user can be added as an instructor. If a user is assigned as an instructor of a path session, that user will be able to see the statistics of a path session, even after the session is ended and they are no longer assigned the role of instructor.
