Search rules

You can use the search engine to search for courses, paths, groups, learning needs, and activities. If you have a group role (coach, contributor, editor, or user admin), you can also search for users.

  1. At the top right, click the search bar.
  2. Start typing what you want to search for. Results will appear as you type.
  3. If you can’t find what you’re looking for, hit ↵ Enter or click SEE MORE RESULTS at the bottom right to open the search results page.

You can open an item by clicking it, click on a chip at the bottom to filter by this type of content, or press ↵ Enter to view more results on the search results page, where you can filter them further or reorder them.

You can also press ↵ Enter without entering anything to open the search results page directly.

Synchronization

The platform updates search data every 2 to 3 hours. A new tag, course, or path may only be searchable a couple of hours after creation.

Operators

OR (default)

By default, entering several words in the search bar will return content containing any one of those terms. This is called the "OR" operator.

For example, if you enter active listening:

  • Results will show content containing active OR containing listening.

AND

You can force the search to return content containing all the words you enter (in any order) by using the symbol + immediately before the word, or typing AND (in uppercase).

For example:

  • Searching for active +listening or active AND listening will return content containing active AND containing listening (but they may not be in the same sentence).
  • Content containing only active but not listening (or only listening but not active) will not be returned.
  • Searching for active + listening (the + has a space after it) or active and listening (the and is lower-case) will not apply the AND operator.

You can force the search to return content containing all the words you enter, and in the specific order you enter them, by wrapping search terms in double quotes.

For example:

  • Searching for "active listening" (notice the double quotes "" around the words) will return only content containing active immediately followed by listening.

NOT

You can force the search to return content excluding certain words by using the symbol - immediately before the word, or typing NOT (in uppercase).

For example:

  • Searching for active -listening or active NOT listening will return content containing active and NOT containing listening.
  • Searching for active - listening (the - has a space after it) or active not listening (the not is lower-case) will not apply the NOT operator.

Difference between the search bar and the search results page

The search bar allows you to search and access content.

At the top right of the homepage, click Search to open the search bar. Results will appear dynamically as you type. You can open an item by clicking it, click on a chip at the bottom to filter by this type of content, or press ↵ Enter to view more results on the search results page.

Up to 11 results are displayed in the search bar, sorted by relevance, and categorized as follows:

When you click a chip to refine your search by category, a maximum of 12 results are displayed.

We do not display path sessions.

Search results page

The search results page allows you to apply more granular search filters, reorder results, and open content directly in their edition screen.

In the Search bar at the top right of the homepage, press ↵ Enter without typing anything to open the search results page. From there, you can:

  • Filter content by type (internal/external courses, paths, activities, classrooms, groups, learning needs), tag and language. If you have a group role (coach, contributor, editor, or user admin), users are also available as a filter type.
  • Open courses, paths, and classes directly in their edition screen (admins, editors, and contributors only), or add them to playlists
  1. At the top right, click the search bar.
  2. Just below the search text field, click on the chips to refine your search.

Filter from the search results page

  1. At the top right, click the search bar.
  2. Click SEE MORE RESULTS at the bottom right.
  3. At the top of the page, click on the chips to filter by type of content, then click Filter at the top right to further filter down by criteria specific to the type of content.

When you select a filter, a corresponding chip appears at the top of the list of search results. You can click directly on the chip to remove the filter or edit it.

The table below lists all the available filters (when clicking the button Filter, at the top right of the page), and sorting criteria, per type of content.

The option Most recent corresponds to descending latest modification date.

The option Most relevant is the result of the relevance algorithm of our search engine, which takes into account the weight of the searchable fields, whether there is a partial or total match between the query and the searchable fields, the number of words matching, whether the course is internal (higher weight) or external (lower weight), and the language, among others.

By default, results are filtered on the language of the user’s platform, and English. If you wish to force the default filter only on the language of the user’s platform, contact your Client Success Partner (CSP). Users can change the language by clicking Filter → Languages at the top right of the page. If no elements correspond to your language, the filter is not applied.

Skills filter

If the Skills feature is activated on your platform, the Skills filter on the search results page is a two-level filter. After selecting a skill, you can narrow results further by selecting one or more levels, or by clicking Select all to include content tagged with that skill at any level.

Each search result card also shows the content's tagged skills and their associated levels.

Visibility rules

Platform administrators can see all items in the platform. Other roles will see results based on their permissions.

Visibility rules for courses

A course can appear in search results when one of the following criteria is met:

  • You are the main author or a co-author of the course.
  • You are an editor within the group that owns the course.
  • You are a reviewer of the course.
  • You are a translator of the course.
  • You are enrolled in a path session containing the course (individually or through a group).
  • You are the coach of a group where the course is shared within the coaches library.
  • You are a member of the group where the course is shared in its Catalog.

Visibility rules for paths

A path can appear in search results when one of the following criteria is met:

  • You are the main author or a co-author of the path.
  • You are an editor within the group owning the path.
  • You are a translator of the path.
  • You are enrolled in at least one active path session of the path or a parent path (individually or through a group).
  • You are a member of the group where one of its active path sessions is shared in its catalog.

By default, only paths with the status Ongoing are displayed (paths with no end date, or with an end date in the future).

On the search results page, you can remove that filter by clicking X on the right of the chip Status: Ongoing at the top left of the list of paths, or by editing the filter Status in the right panel.

Visibility rules for activities

Visibility rules for course activities are the same as for courses.

Visibility rules for classrooms

A classroom can appear in search results when one of the following criteria is met:

Visibility rules for users

User search requires at least one group role (coach, contributor, editor, user admin, or group admin) or a platform role. Supplementary roles (manager, co-author, instructor, reviewer, translator, or trainer) do not grant access to user search on their own.

A user appears in your search results when one of the following criteria is met:

  • You are a member of at least one common group with the searched user.
  • You are the manager of the searched user.

The more groups you share with other users, the broader your search results. Being a member of the root group means you share a group with all platform users. You can find anyone on the platform.

A group can appear in search results if you are a member of this group.

Visibility rules for learning needs

A Learning Need can appear in search results if you are a member of the group linked to the Learning Need.

Searchable fields

Every time you search for content on the platform, the search engine assigns a relevance score to each result and ranks them from highest to lowest.

We support prefix matching, but not wildcard search: this means that searching for "note" can display results for "_note_pad" and "note_book", but not "key_note".

When searching for courses, paths, users, groups, learning needs, and activities, your search is based on fields.
