Edit a classroom slot

  • Updated

Admins and coaches of the path session's owner group, the session instructors, and admins of the path's owner group can create, edit, and delete classroom slots. Platform admins can do this in any path session.

Trainers of a slot can only fill in its attendance and attendance sheets.

You can edit the slot name, start date, end date, reported duration, timezone, type of classroom (virtual or on site), location, webinar provider, max capacity, waitlist, trainers, message, and attachments of a classroom slot.

When you save an edit to the classroom slot, you are asked whether to send an update email to the learners registered for the slot, its trainers, and the learners on its waitlist. You can enter a message in the field Add an optional message, then click Send, or click Don't send.

When you change the date or time of a slot, the answers of learners who said they are going are cleared. They need to answer again.

Set a max capacity and a waitlist on a classroom slot

Once a slot reaches its capacity, learners can't register in it themselves, and automatic registration skips it. You can still register learners in it yourself, beyond its capacity.

If you also enable the waitlist, learners can join the waitlist of a full slot instead. You then accept or reject each request. A waitlist requires a max capacity. New slots have neither.

  1. At the top of the homepage, click Paths.
  2. On the right of a path, click Edit pen.svg.
  3. In the list of steps, at the bottom of a classroom, on the right of a classroom slot, click 3Dots.svg → Edit.
  4. Expand Learners registration.
  5. Turn on Define a maximum learner capacity, then enter a number.
  6. (Optional) Turn on Enable waitlist.
  7. At the bottom right, click Save.

If learners are on the waitlist when you turn off the waitlist or the max capacity, you must process their requests first. Click Disable to reject them all, or Review waitlisted learners to accept or reject each one. Rejected learners receive an email.

Edit the name, dates, or location of a classroom slot

  1. At the top of the homepage, click Paths.
  2. On the right of a path, click Edit pen.svg.
  3. In the list of steps, at the bottom of a classroom, on the right of a classroom slot, click 3Dots.svg → Edit.
  4. Change the value of the field.
  5. On the bottom right, click Save.

Change the reported duration of a classroom slot

A classroom slot shows its duration in hours and minutes up to 24 hours, then in days, rounded up. Statistics don't use this duration. They use the Reported duration.

By default, the reported duration is computed from the start and end dates. If the slot lasts 4 hours or less, it is the slot length, rounded up to the nearest quarter hour. If the slot lasts more than 4 hours, it is 7 hours for every started 24-hour period, weekends included.

For example, a slot from 9:00 to 18:00 counts as 7 hours for each learner who attended it. If the slot is hosted on Zoom or Microsoft Teams, statistics use each learner's tracked attendance duration instead.

  1. At the top of the homepage, click Paths.
  2. On the right of a path, click Edit pen.svg.
  3. In the list of steps, at the bottom of a classroom, on the right of a classroom slot, click 3Dots.svg → Edit.
  4. Click Reported duration and enter a number of hours.
  5. At the bottom right, click Save.

Add a message or attachments to a classroom slot

If the classroom already has a message or attachments, they will be displayed by default in the classroom slot. You can remove them, change them, or add new ones.

  1. At the top of the homepage, click Paths.
  2. On the right of a path, click Edit pen.svg.
  3. In the list of steps, at the bottom of a classroom, on the right of a classroom slot, click 3Dots.svg → Edit.
  4. Below Message, edit the message, or uncheck the box to remove it.
  5. Click Attachment to add attachments, or click the X to remove the existing ones.
  6. At the bottom right, click Save.

Add trainers to a classroom slot

Trainers are users who will be responsible for running the classroom. They can fill in attendance and see the statistics of the slot, and are displayed in the description of the classroom slot in the session homepage. They can't edit the slot.

Any user can be added as a trainer.

  1. At the top of the homepage, click Paths.
  2. On the right of a path, click Edit pen.svg.
  3. In the list of steps, at the bottom of a classroom, on the right of a classroom slot, click 3Dots.svg → Edit.
  4. Below Trainers, click +.
  5. Select a user.
  6. On the bottom right, click Confirm.
  7. At the bottom right, click Save.

You can remove trainers by unselecting them in step 5.

Trainers receive an email notification for the classroom slot when they are added, and when the classroom slot is updated (if the user updating the slot chooses to send an update email).
