Fill classroom slot attendance

  • Updated

Admins and coaches of the path session's owner group, the session instructors, admins of the path's owner group, and trainers of the slot can fill in the attendance of a classroom slot, open learner check-in, and manage its attendance sheets. Platform admins can do this in any path session.

Trainers of the slot, and users who can see the statistics of the path session, can download its attendance data.

A learner's attendance on a slot is Attended or Absent. Marking a learner as Attended is enough for their progress in the path and to unlock the next step. Attendance can be set in three ways:

  • You fill in attendance yourself.
  • You sync attendance from Zoom or Microsoft Teams, if the slot's meeting was created with one of these integrations.
  • With the Live Training Solution, learners check in on attendance sheets. Once every attendance sheet of the slot is signed, learners who checked in on all of them are marked as Attended, and the others as Absent. This replaces the attendance you filled in yourself.

Fill in attendance

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. Check the box next to each learner who attended.
    • To select all learners, check the box in the table header.
  4. At the bottom, click 3Dots.svg → Mark as attended.

To change the attendance of one learner, click 3Dots.svg on the right of their line.

Sync attendance from Zoom or Microsoft Teams

If the slot's meeting was created with the Zoom or Microsoft Teams integration, you can fill in attendance from the meeting data. A meeting link entered manually can't be synced.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. Click arrows-circle.svg Sync attendance data.

Learners who were in the meeting for at least the attendance threshold are marked as Attended, and the others as Absent. To change the threshold, see Zoom or Microsoft Teams.

Users must use the same professional email address in 360Learning and in Zoom or Microsoft Teams, and be logged in with that email to both platforms. Email aliases (ada.lovelace@computer.org and ada.lovelace#genius@computer.org) are considered different email addresses.

With Microsoft Teams, attendance sync depends on whether Microsoft Teams can identify the learner's email address when the meeting ends. Learners from other organizations can sync too, as long as the email on their meeting account matches their 360Learning email. Guests who join anonymously, or without signing in, aren't identified this way and cannot be synced.

With Zoom, attendance can only be synced for learners who are added as users on the meeting host's Zoom account. This means belonging to the same company account, not just having a matching email address. Learners on a different company's Zoom account, or a personal Zoom account (for example, ada.lovelace@gmail.com), cannot sync their attendance.

View and share the check-in codes

With the Live Training Solution, each slot has an access code and a QR code that learners use to check in. You can share them from the moment the slot is created. Learners can only check in once you open check-in.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. At the top right, click MANAGE CHECK-IN.
    • To download the QR code, for example to print it or display it on-site, click download.svg.

You can also see the codes from the path edit page: on the right of a classroom slot, click 3Dots.svg → See check-in codes.

Open or close check-in

With the Live Training Solution, learners registered for a slot can check in while check-in is open on one of its attendance sheets.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. At the top right, click MANAGE CHECK-IN.
  4. Click OPEN CHECK-IN, or CLOSE CHECK-IN.
    • While check-in is open, click Copy link to share a check-in link, for example in the chat of an online meeting. Learners registered for the slot who open it only need to click CHECK-IN.

Closing check-in signs the attendance sheet, and marks learners who have not checked in as absent on it. Once every attendance sheet of the slot is signed, learners who checked in on all of them are marked as Attended, and the others as Absent. To adjust a signed sheet, open check-in on it again.

The Verified Attendance column of the attendance table shows whether each learner checked in.

Send a check-in reminder

With the Live Training Solution, you can send a reminder email to learners who have not checked in yet. Check-in must be open.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. Check the box next to each learner to remind.
    • To select all learners, check the box in the table header.
  4. At the bottom, click planeUp.svg Send message.

To remind a single learner, you can also click planeUp.svg Send message on the right of their name.

Add attendance sheets to a slot

With the Live Training Solution, you can add attendance sheets to take attendance several times in a slot, for example in the morning and in the afternoon. A slot can have up to 100 attendance sheets. To create them automatically for each new slot, see Create attendance sheets automatically.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. At the top right, click MANAGE CHECK-IN.
  4. Click plus.svg NEW SHEET.

Attendance for the slot is set once every attendance sheet is signed. Adding a sheet afterwards puts it on hold until the new sheet is signed. Deleting a sheet sets it again from the remaining sheets.

Export the attendance list as CSV

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. At the top right of the table, click EXPORT → Download CSV.

Download the signed attendance sheet

The signed attendance sheet is a PDF file. It shows the name, date, and time of the training session. For the trainer and each learner, it shows their name, electronic signature, and IP address, and the date and time of the check-in.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. At the top right of the table, click ATTENDANCE SHEET.
  4. At the top right of the page, click DOWNLOAD.

Download a blank attendance sheet

The blank attendance sheet is a printable XLS file to collect learners' signatures on paper during the classroom.

  1. At the top of the homepage, click Classrooms.
  2. On the right side of a classroom slot, click eye.svg Go to slot.
  3. At the top right, click MANAGE CHECK-IN.
  4. At the top right of the page, click Download blank attendance sheet.
