Statistics visibility

  • Updated

In a dashboard or report, you see a user's statistics on a course, path, or path session, when you meet two conditions:

  • You can access that course, path, or path session
  • You can see that user

On a course's statistics, you only see the learners your roles let you see. On a user's statistics, you only see the content whose statistics you can access.

The users you can see add up across all your roles, on every statistics page. If you're a manager, a coach, and an instructor, you see your managees, the members of the groups in which you have the coach role, and the learners of the path sessions in which you have the instructor role, on every course, path, and path session whose statistics you can access.

Statistics visibility per role

Statistics visibility: platform admin

Platform admins see the statistics of all users, on all content.

Statistics visibility: group admin

Group admins see the statistics of the members of their group and of their subgroups, on the content owned by these groups and on the courses in the catalog or library of these groups.

Content
  • Courses owned by their group or its subgroups, or listed in the catalog or library of these groups.
  • Paths owned by their group or its subgroups, including all their sessions.
  • Path sessions owned by their group or its subgroups. Enrolling their group in a path session isn't enough.
  • Classroom slots in these path sessions.
  • The group dashboard of their group and its subgroups.
  • The statistics of the path certificates of their group and its subgroups.
Users Members of their group and its subgroups.

If your company has activated extended visibility, group admins can access statistics for more content, without seeing more users.

Statistics visibility: coach

Coaches see the statistics of the members in their group, on the courses in the catalog or library of that group and on the path sessions owned by that group.

Content
  • Courses listed in the catalog or library of their group.
  • Path sessions owned by their group. Enrolling their group in a path session isn't enough.
  • The statistics page of the paths of these sessions, with the data of these sessions only.
  • Classroom slots in these path sessions.
  • The group dashboard of their group.
  • The statistics of the path certificates of their group, not of its subgroups.
Users Members of their group.

If your company has activated extended visibility, coaches can access statistics for more content, without seeing more users.

Statistics visibility: editor

Editors see the statistics of the courses owned by their group, for the learners of these groups who played a course of which the editor is the main author.

Content
  • Courses owned by their group.
  • Paths owned by their group: the editor can open the path's statistics page, but the page shows no learner data. To see the learner data of a path session, the editor also needs the coach role in the group that owns the session, the group admin role in the group that owns the path or the session, or the instructor role in the session.
  • The path certificates of their group, listed with their number of certified learners, without their statistics.
Users Learners of their group who played at least one course of which the editor is the main author.

If a learner hasn't played any course in which the editor is the main author, the editor doesn't see that learner on any course, path, or path session statistics, unless another role lets the editor see the learner. As soon as the learner plays one course of which the editor is the main author, the learner appears on every course, path, and path session statistics page the editor can open.

Statistics visibility: contributor

Contributors only see their own results, on the content they author.

Content
  • Courses of which they are the main author or a co-author.
  • The statistics page of paths of which they are the main author or a co-author, without session data.
  • The path certificates they created, listed with their number of certified learners, without their statistics.
Users Only themselves.

To let a contributor see the results of a path session, add the contributor as a co-instructor of that session.

Statistics visibility: main author or co-author

Main authors and co-authors can access the statistics of their courses and paths, but this role alone doesn't show any other user.

Content
  • Courses of which they are the main author or a co-author.
  • The statistics page of paths of which they are the main author or a co-author, without session data.
  • No access to the statistics of the path certificates of these paths.
Users None from this role alone. Being a main author or co-author extends content access for roles that give user visibility: group admin, coach, instructor, and manager. For editors, being the main author of a course also extends user visibility. Being a co-author doesn't.

Statistics visibility: instructor or co-instructor

Instructors see the statistics of all learners enrolled in their path sessions.

Content
  • Their path sessions, as instructor or co-instructor.
  • The statistics page of the paths of these sessions, with the data of these sessions only.
  • Classroom slots in these path sessions.
  • No access to the statistics of the path certificates of these paths.
Users All learners enrolled in these path sessions, whatever their group.

Instructors keep this access after the path session has ended. Removing a user as instructor of a path session removes this access.

Statistics visibility: trainer

Trainers see the attendance data of the users registered in the classroom slots in which they have the trainer role.

Content Their classroom slots.
Users Attendance, RSVP, and verified attendance of the users registered in these classroom slots, for these slots only.

Statistics visibility: manager

Managers see the statistics of the users of whom they have the manager role.

Content
  • Courses their managees played.
  • In custom reports and exports only: path sessions and classroom slots their managees are enrolled in.
Users Their managees.

Managers can see overall progress for their managees. When a manager opens a managee's step details on a path whose statistics the manager can't access, the manager sees the error "Sorry, you don't have the permissions to access the detailed statistics of this path." This happens because the manager role grants user visibility, not content visibility.
