Create and share a custom path dashboard

Who can access custom path dashboards?

If you have one of the roles listed below, you can access the Custom path dashboards page.

What data can you see when creating a dashboard?

  • Platform admins can create dashboards that show the data from all groups.
  • Group admins can create dashboards that show the data from their groups and subgroups.
  • Coaches can create dashboards that show the data from their groups.
  • Editors can create dashboards that show the data from users who have taken their courses.
  • Managers can create dashboards that show the data about their managees.
  • Instructors can create dashboards that show the data from all users who have played training content in the path sessions they instruct, regardless of their group.

What data can you see when viewing a dashboard shared with you?

When viewing a dashboard created by someone else, you’ll see the data exactly as the dashboard owner was permitted to see it at the time the dashboard was last generated.

Availability

  • Custom path dashboards are only available on the web app.
  • They are not supported on mobile.

Use Custom path dashboards to create personalized data views. You can select specific training content (paths or path sessions), learners, and filters to monitor overall completion rates and explore granular performance. The data displayed is limited by the permissions of the user who creates the dashboard.

Create a custom path dashboard

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. At the top right, click plus.svg Create dashboard.
  4. Enter a Dashboard name.
  5. Click Select trainings to choose which paths or path sessions to include.
    • From the Paths chip: Selecting a path here automatically includes all its current and future sessions. These sessions appear in the Path sessions chip and update dynamically (you can't deselect them individually). If new sessions are created or deleted for this path, the list updates automatically.
    • From the Path sessions chip: Use this option to select a fixed list of specific sessions. If you select all current sessions of a path this way, the path itself won't appear as selected in the Paths chip. Future sessions for that path won't be added automatically.
    • You can select up to 20 paths in total (either by choosing them directly from the Paths chip, or by selecting any number of individual sessions, as long as those sessions belong to no more than 20 different paths).
  6. (Optional) Under Audience, select specific groups, users, and/or user custom fields to define who appears in your dashboard.
    • If you don't select an audience, the dashboard shows all learners who are enrolled in at least one selected training.
    • If you do select an audience, the dashboard shows, by default, only the learners in that audience who are enrolled in at least one of the selected training.
      • To also show learners in the audience who haven't been enrolled, complete the dashboard creation steps and click Generate. Then, turn on the Display not enrolled learners toggle (located at the top right of the generated report).
      • Selections across groups, users, and user custom fields use OR logic: A learner is included if they match any one of the selected criteria.
      • Multiple user custom fields use AND logic: A learner is included if they match all selected custom field values.

  7. (Optional) Apply additional filters to narrow the selected audience. Filters (such as enrollment date, type, or user status) use AND logic.
  8. At the top right, click Generate to create your custom path dashboard.

The dashboard configuration is saved immediately, but data loading may take several seconds, or longer if many paths or users are included.

Limitations

To keep platform performance strong, these limits apply:

  • Custom path dashboards per user: Each user can create a maximum of 50 custom path dashboards.
  • Paths: You can select up to 20 paths.
  • Path sessions: You can select any number of path sessions, provided they belong to no more than 20 distinct paths.
  • Groups: You can select up to 1000 groups.
  • Users: You can select up to 4000 individual users.
  • User custom field values: You can select up to 1000 custom field values.

View a custom path dashboard

Once a custom path dashboard is generated, you can open it to explore key metrics, charts, and learner data. What you see depends on the visibility permissions of the dashboard owner.

To view a custom path dashboard:

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards. In this view, you'll see dashboards you created or that have been shared with you, along with their status:
    • Ready: The dashboard is active and viewable.
    • Computing: The configuration is saved, but the data is still being processed. This may take a few seconds or longer depending on the size of the selection.
    • Invalid: The dashboard cannot be used. This happens if:
      • All selected trainings were deleted.
      • No learners are enrolled in the selected trainings.
      • The dashboard owner no longer has visibility permissions for the selected trainings or users.
  3. On the right of the dashboard, click eye.svg View.
  4. To view the criteria used to generate the dashboard, click Settings details at the top right of the dashboard.

The data is refreshed when you open the custom path dashboard.

Understand custom path dashboard views and data

This section outlines how to read the different views in your custom path dashboard, followed by a breakdown of how the underlying data is calculated based on your selections.

Dashboard views (charts and tables)

Custom path dashboards include 2 main chart types and 2 table views.

Learner success rate chart

This chart shows the percentage of learners who successfully completed all the training they're enrolled in.

  • Numerator: Number of learners who successfully completed every selected training they are enrolled in.
  • Denominator: All learners included in the dashboard view. This set is controlled by your audience selection and the Display not enrolled learners toggle.
    • No audience selected: The denominator includes all learners enrolled in at least one selected training.
    • Audience selected: By default, the denominator includes only enrolled learners from your audience. To include learners from your audience who are not enrolled, activate the Display not enrolled learners toggle at the top right of the custom path dashboard.
Enrollment statuses breakdown chart

This chart displays the distribution of all enrollment statuses across selected trainings.

  • Any chart slice strictly under 3% is grouped into an Others category.
  • Hover over the Others slice to see the detailed breakdown.

If you’ve selected an audience, you can turn on the Display not enrolled learners toggle at the top right of the custom path dashboard to include audience members who aren’t enrolled.

This chart reflects the number of enrollments, not the number of learners.

  • You select:

    • 20 paths

    • An audience of 10 learners.

      If all learners are enrolled in all trainings, the chart will display a total of 200 enrollments (10 learners x 20 paths).

Results by learners

This table shows learner-level progress across the selected trainings.

  • If no audience is selected: You'll see only learners who are enrolled in at least 1 of the selected paths.
  • If an audience is selected:
    • By default, you'll see learners from that audience who are enrolled in at least 1 of the selected paths.
    • To include learners from your audience who are not enrolled, activate the Display not enrolled learners toggle at the top right of the custom path dashboard.

Click a learner’s name to view their enrollment details and see how they’re progressing.

Results by paths

This table shows path-level performance and learner engagement.

  • If no audience is selected: The metrics reflect only learners who are enrolled in each path.
  • If an audience is selected:
    • By default, you'll see learners from that audience who are enrolled in at least 1 of the selected paths.
    • To include learners from your audience who are not enrolled, activate the Display not enrolled learners toggle at the top right of the custom path dashboard.

Click a path name to view detailed enrollment data for that training.

How data is computed

How audience selection affects the data

Whether or not you select an audience determines which learners are included in the calculations and table views.

  • If no audience is selected: The dashboard includes only learners enrolled in at least one selected training.

  • If an audience is selected:

    • By default, only the enrolled members of this audience are shown.
    • If the Display not enrolled learners toggle is turned ON, the entire audience is shown. This helps you identify gaps in participation.
  • You select:

    • 1 path

    • An audience of 10 learners

      Out of those 10 learners:

    • 9 have successfully completed the training

    • 1 is not enrolled in any training

      If the Display not enrolled learners toggle is turned ON:

    • The Learner Success Rate will be calculated as 9/10 = 90%

    • It will not be 9/9 = 100%, because the "not enrolled" learner is factored into the denominator.

      That same "not enrolled" learner will also appear in the Enrollment Statuses Breakdown chart, with their enrollment labeled as Not enrolled.

How audience criteria are applied (AND/OR logic)
  • Selections across groups, users, and user custom fields use OR logic: A learner is included if they match any of the selected options.

  • Multiple values within the user custom fields use AND logic: A learner must match all selected values.

  • You select:

    • Group: Sales Team

    • User: Alice Dupont

    • User custom field: Location = Paris, Level = Manager

      The dashboard will include:

    • Everyone in the Sales Team

    • Alice Dupont

    • Anyone in Paris AND at Manager level.

      If any of them are not enrolled in the selected trainings, they’ll still appear in the dashboard, with a Not enrolled status.

How learner enrollments are counted

If a learner is enrolled in multiple sessions of the same path (even multiple times in the same session), the dashboard displays only 1 enrollment per learner.

  • If there are ongoing sessions: The dashboard shows the most recent ongoing session, based on the session's start date.

  • If all sessions have ended: It shows the most recently ended session.

  • A learner is enrolled in the following sessions of Path A:

    • Session A-1: Ongoing, started in January 2024.

    • Session A-2: Ongoing, started in January 2023.

    • Session A-3: Ended, started in January 2025.

      Although Session A-3 started most recently, it’s already ended. Since Sessions A-1 and A-2 are still ongoing, the dashboard displays Session A-1 for this learner (the most recent ongoing one).

Edit a custom path dashboard

You can change a custom path dashboard you've already created to adjust its trainings, audience, or filters.

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. On the right of the dashboard name, click pen.svg Edit.
  4. Change the name, training, audience, and filters as needed.
  5. At the top right, click Generate.

Share a custom path dashboard

You can share a custom path dashboard you've created with up to 100 users with any role except learners.

Anyone you share this dashboard with will:

  • Receive an email notification.
  • Have access to the dashboard from their own account.
  • See the same data (users, trainings) that you see, based on your permissions when you created or last generated the dashboard. Their own platform permissions don’t affect what’s visible in the shared dashboard.

To share a custom path dashboard:

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. On the right of the dashboard name, click eye.svg View.
  4. At the top right, click Share.
  5. In the dialog box, check the box next to the user you wish to share the dashboard with.
  6. Click Share.

To unshare a dashboard, uncheck the box next to the user's name in the sharing settings.

Delete a custom path dashboard

Deleting a custom path dashboard cannot be undone. You can, however, recreate it later if needed.

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. On the right of the dashboard, click bin.svg Delete.

Send bulk reminders from a custom path dashboard

You can send reminders to learners within your audience for any paths displayed on your custom path dashboard.

Send a reminder to one or more learners for a specific path

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. On the right of the dashboard, click eye.svg View.
  4. Under Results by paths, click on a path.
  5. Select the checkbox next to the learners you wish to send the reminder to.
  6. Scroll down and click Review and customize reminders.
  7. (Optional) In the dialog box, add a custom message.
  8. Click Send reminders.

Send bulk reminders to one or more learners for all non-completed paths

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. On the right of the dashboard, click eye.svg View.
  4. Under Results by learner, select the checkbox next to the learners you wish to remind.
  5. Scroll down and click Review and customize reminders.
  6. (Optional) In the dialog box, add a custom message.
  7. Click Send reminders.

Send bulk reminders to all learners who haven't completed one or more paths

  1. In the left sidebar, click bar.svg General analytics.
    • If bar.svg General analytics doesn’t appear in your sidebar, click All at the top of the homepage, then click bar.svg Statistics at the top left.
  2. At the top, select Custom path dashboards.
  3. On the right of the dashboard, click eye.svg View.
  4. Under Results by paths, select the checkbox next to the paths you wish to send the reminder for.
  5. Scroll down and click Review and customize reminders.
  6. (Optional) In the dialog box, add a custom message.
  7. Click Send reminders.
