Configure the audience for a path session

Admins, coaches, and instructors can configure the audience of the path sessions in which they can enroll learners. See Who can enroll learners.

An audience is the list of learners enrolled in a path session. You create it when you enroll learners, by choosing learners, email addresses, groups, or everyone. This article explains how to refine it with criteria, exclude learners from it, and update it automatically.

On a path that uses credits, the audience can only list specific learners: you cannot add criteria, exclude learners, or turn on automatic updates.

Keep only learners who match criteria

You can keep only the learners who match criteria, such as a path result or a custom field. The available criteria are:

  • Path result
  • Certificate status
  • User creation date
  • User activation date
  • User custom fields

For example, to train all managers across your groups, enroll everyone in the session, then filter on the Job Title custom field with the value "Manager".

  1. At the top of the homepage, click Paths.
  2. On the right side of the path row, click pen.svg Edit.
  3. In the right panel, select the session.
  4. In the Build the audience section, click Filter these learners by.
  5. Select a criterion.
  6. Enter its values. See Criteria details.
  7. Click outside the field.
  8. At the top of the section, click arrows-circle.svg Check updates to save, then click the computed number to review the exact list of learners to enroll and unenroll.
    • Review the unenroll list before you save. Saving unenrolls those learners even if Auto-unenroll learners is off.
  9. At the bottom right, click Save audience.
  10. Click Confirm.

Criteria apply to all the groups or learners of the same subsection. To apply different criteria to other groups, click Edit the audience → Assign groups to add a new subsection.

Criteria details

Path result

Select a path and a result. Only learners enrolled in that path count: an unenrolled learner is left out, even if their last result matches.

  • Completed: all steps completed.
  • Not completed: at least one step not completed.
  • Successful: all mandatory steps completed, with the minimum score reached in every mandatory course that has one, and within its time limits.
  • Not successful: at least one step not completed, or a minimum score not reached on a mandatory step.

Certificate status

Select certificates and a status: Not obtained, Valid, Expired, or Expiring in 30 days. With automatic updates on, audiences that use Expired or Expiring in 30 days are recalculated once a day.

User creation date and user activation date

  • User creation date: when the account was created. For invited users, when the invitation was sent, even if they haven't accepted it.
  • User activation date: when the account was activated. For invited users, when they accepted the invitation. Users who haven't activated their account are left out. For a deleted and restored account, the date of the last restore.

Select On or after, On or before, or Between, then a date. Each date can be a fixed date or Today, but Between can't use Today for both dates.

With Today, set a refresh time in your timezone. With automatic updates on, the audience is recalculated once a day at that time. Until then, Today still means yesterday.

  • On or after Today: users from the current day onward. New users keep being added.
  • On or before Today: in practice, all existing users.
  • Between a fixed date and Today: a window that grows by one day at each refresh.

User custom fields

Select one or more values. You only see the values of users you can see. See User custom field value visibility.

Select several values for a criterion

You can select several values for a custom field, several paths for Path is, or several certificates for Certificate is. Learners who match at least one of the values are kept (logical OR). For example, all users with the value "Paris" or "Chicago" for the custom field "Location".

When you add several criteria, learners must match all of them (logical AND). For example, users who live in "Paris", have been in the company for "4+ years", and have successfully completed the path "Onboarding".

  1. At the top of the homepage, click Paths.
  2. On the right side of the path row, click pen.svg Edit.
  3. In the right panel, select the session.
  4. In the Build the audience section, click the field next to Path is, Certificate is, or the custom field name.
  5. Select the values.
  6. Click outside the field.
  7. At the top of the section, click arrows-circle.svg Check updates to save, then click the computed number to review the exact list of learners to enroll and unenroll.

  8. At the bottom right, click Save audience.
  9. Click Confirm.

To remove a value, click cross.svg on the right of its name. To remove all the values, and the criterion, click cross.svg on the right of the field.

Exclude learners from the audience

Excluded learners are never enrolled in the session, even if they match the audience. If they are already enrolled, they are unenrolled when you save.

  1. At the top of the homepage, click Paths.
  2. On the right side of the path row, click pen.svg Edit.
  3. In the right panel, select the session.
  4. Click Edit the audience → Exclude learners.
  5. Select the learners.
  6. Click outside the field.
  7. At the top of the section, click arrows-circle.svg Check updates to save, then click the computed number to review the exact list of learners to enroll and unenroll.

  8. At the bottom right, click Save audience.
  9. Click Confirm.

An audience has only one list of excluded learners. To unenroll learners without excluding them, see Unenroll users from a path session.

Enroll and unenroll learners automatically

By default, the audience only changes when you save it. Auto-enroll learners enrolls learners as soon as they match it, and Auto-unenroll learners unenrolls them when they stop matching. With either option on, the audience is dynamic. With both off, it is static.

Every save recalculates the audience, even if you changed nothing: learners who now match are enrolled, and learners who no longer match are unenrolled, even if they started or completed the path. Unenrolled learners lose access to the session but keep their statistics, and resume where they left off if enrolled again. See Unenroll users from a path session.

  1. At the top of the homepage, click Paths.
  2. On the right side of the path row, click pen.svg Edit.
  3. In the right panel, select the session.
  4. On the top right of the Session settings section, click Configure settings.
  5. Turn Auto-enroll learners and Auto-unenroll learners on or off.
  6. In the dialog box, click Confirm.

Group membership changes, whether an admin added users or a user self-registered into the group, take up to 20 minutes to apply. Audiences that use Today are recalculated once a day at the time you set, and audiences that use the Expired or Expiring in 30 days certificate status once a day. Other changes, such as a new custom field value or path result, are applied automatically too.

Automatic updates follow what you selected when you enrolled learners:

  • Specific learners or email addresses, without criteria: the audience doesn't change, because there's nothing to match.
  • Select all learners or groups: updates only cover the learners or groups that existed when you created the audience. New ones are not added.
  • A group: with Auto-enroll learners on, new members of the group are enrolled.
  • Everyone, for platform admins: every new user of the platform is enrolled. Use it to include users of groups created later, or criteria not based on groups.
