Upload external certificates

Who can use this feature?

  • Platform admins can enable/disable external certificate uploads, as well as enable/disable external certificate validation requirements
  • Admins, Managers, and Coaches can upload certificates (for themselves and others), view users external certificates, and validate external certificates
  • Learners can upload external certificates and receive notifications when their external certificates are validated/rejected

Learners, managers, and administrators can now upload certificates earned outside the platform, directly from their Results page. Once the feature is activated, the new Import certificate option will appear, allowing users to import their external certificates as well as add a certificate title, delivery date, and expiration date.

When external certificate validation is enabled, reviewers are notified by email and can review, approve, or reject submissions directly from the platform.

If the credits feature is enabled in your platform, users can assign credits to their external certificates.

This feature is activated on demand only for now. Contact your Client Success Partner (CSP) if you’re interested.

Enable external certificates

Once activated, platform admins can enable the feature, choose whether external certificates will require validation, and select who is responsible for validations.

  1. In the left sidebar, hover over the platform group (the one with a golden crown), then click gear.svg Settings.
    • If settings.svg Settings doesn’t appear in your sidebar, click on the platform group first, then click settings.svg Settings in the top right of the main section.
  2. Click Certificate.
  3. Enable Learners can import certificates themselves.
    • (Optional) Enable Validation of external certificates required.
    • (Optional) Under Reviewers, select who will be responsible for validation. If you select managers, learners who do not have a manager will have their validation request sent to the group admin.

Upload an external certificate for yourself

Any user can upload an external certificate for themselves.

  1. At the top right of the homepage, click on your profile picture, then Results.
  2. Scroll down to the Certificates section.
  3. Click Import certificate.
  4. Click Select a file and choose the certificate you would like to upload.
    • The file must be in .pdf format.
  5. Enter a Certificate name, Delivery date, and optionally Expiration date.
  6. Click Associate a certificate, and select an existing certificate template.
    • If validation is enabled, this field is visible only to admins and managers.
  7. Click Save.
    • If validation is required, the Save button will be replaced with Send for validation.

Upload an external certificate for another user

Admins can upload an external certificate for members of their group.

Managers can upload an external certificate for their managees.

  1. At the top of the homepage, click Users.
  2. Click either the Current tab or the Deleted tab.
  3. On the right side of the user's row, click eye.svg View profile.
  4. Open the Results tab.
  5. Scroll down to the Certificates section.
  6. Click Import certificate.
  7. Click Select a file and choose the certificate you would like to upload.
    • The file must be in .pdf format.
  8. Enter a Certificate name, Delivery date, and optionally Expiration date.
  9. Click Associate a certificate, and select an existing certificate template.
    • If validation is enabled, this field is visible only to admins and managers.
  10. Click Save.
    • If validation is required, the Save button will be replaced with Send for validation.

Validate an external certificate

Group admins or managers can validate external certificates if validation is enabled. When an external certificate is uploaded, the group admin or manager (depending on who is selected as the reviewer) will receive a notification that they have a pending validation.

  1. On the top right, click ringBell.svg Notifications → Certificate Validation.
  2. Click on a certificate validation task.
  3. On the right of External certificate details, click pen.svg Edit to edit the certificate name, delivery date and expiration date.
  4. In Internal certificate equivalence, click Associate a certificate and select an existing certificate template.
  5. At the bottom, enter a comment.
  6. Select REJECT or VALIDATE.

Once the certificate is validated, the user will receive a notification letting them know if their certificate was rejected or validated.
