Validate skill assessments

  • Updated

This feature requires the Skills solution. For more information, contact your Customer Success Partner (CSP).

Admins can validate the skill mastery level of a user in their group. Managers can validate the skill mastery level of their managees.

We recommend admins and managers to validate it after users have assessed themselves. But they can validate it directly in the users’ profiles, even if those users haven’t assessed themselves first.

Each skill can be validated up to 500 times.

If several users validate the same skill for the same user, each validation is recorded in the skill history. The most recent validation determines the current skill level.

Choose where skills are assessed

Platform admins can choose if skill assessments are done in 360Learning, or in another system (for example, an HRIS).

  1. In the left sidebar, hover over the platform group (the one with a golden crown), then click settings.svg Settings.

    • If settings.svg Settings doesn’t appear in your sidebar, click on the platform group first, then click settings.svg Settings in the top right of the main section.
  2. In the left column, click Skills.

  3. Under Select where skills are assessed, select one of the following:

Selecting Externally doesn’t delete existing skill data: it stays on user profiles, and becomes editable again if you switch back to In 360Learning.

Selecting Externally only blocks skills on user profiles. Admins can still create and edit skill libraries, skills, qualifiers, and jobs.

Choose the default skill assessment method

This only applies when skills are assessed in 360Learning.

Platform admins can choose how skill assessments happen on the platform. Admins and managers have the same rights: both can validate skill assessments for the users in their scope.

  3. Under Select a default skill assessment method, select one of the following:

    • Self-assessment with manager/admin validation (default): users assess themselves, then an admin or manager validates the assessment.
    • Self-assessment only: users assess themselves, and the assessment is automatically validated.
    • Manager/admin assessment only: users cannot self-assess. Only admins and managers can assess skills directly.

If a skill assessment was pending validation when you select Self-assessment only, it stays pending until the user assesses themselves on that skill again.

Validate skill assessment

This is the recommended workflow because it allows users to participate in their assessment.

This applies when the default skill assessment method is set to self-assessment with validation (the default). Until you’ve validated all skills for your managees (if you’re a manager) or group members (if you’re an admin), you will have a permanent notification in the notifications center.

You can also open the skills dashboard by clicking at the top right on bell.svg Notifications → N Skills to validate (N is replaced by the number of pending skills to validate).

Validate skills individually

  1. At the top of the homepage, click Skills.
    • Managers: click bar.svg General analytics in the left sidebar, then click the Team’s skills tab.
  2. In Skills to validate, click on a user.
  3. Click on a skill with the status Pending validation (you can filter by status by clicking Filter on the top left).
    • You can click on the section Completed trainings to display the courses and paths tagged with the skill that the user has already completed. Read more →
  4. If you agree with the level, click VALIDATE on the bottom right.
  5. If you disagree, select another level, then click VALIDATE → CONFIRM.

Validate skills in bulk

This method is useful when you’ve already agreed on the assessment level for each skill with the user in a live meeting beforehand.

  1. At the top of the homepage, click Skills.
    • Managers: click bar.svg General analytics in the left sidebar, then click the Team’s skills tab.
  2. In Skills to validate, click on a user.
  3. On the top right of the list, click VALIDATE ALL PENDING SKILLS (there must be at least one skill pending validation).
  4. Click CONFIRM.

Edit skill assessment

In some cases, you may want to edit the skill mastery level directly, without waiting for the user’s self-assessment.

Admins can directly edit the skill mastery level of a user in their group. Managers can do the same for their managees.

  1. At the top of the homepage, click Users.
  2. At the top, click the Current section.
  3. On the right side of the user's row, click eye.svg View profile.
  4. Click the Skills section.
  5. Click on a skill.
  6. In the right sidebar, edit the assessment.
  7. At the bottom right of the sidebar, click REVIEW, then CONFIRM.
    • If the skill wasn’t previously assessed, click ASSESS.
