Add a privacy policy, a moderation charter, terms of use, and imprint

Who can use this feature?

  • Only the platform owner can add a privacy policy, a moderation charter, and terms of use to the 360Learning platform and private groups.
  • The platform owner can also request explicit consent from users when connecting for the first time.
  • Group admins can edit privacy policies, moderation charters, and terms of use, for their group(s).

360Learning does not provide a default privacy policy, moderation charter, terms of use, or imprint. It is your responsibility to provide your specific legal documents to the users of your organization, according to GDPR regulations, as well as your own.

Add a privacy policy for your organization

Adding a privacy policy to your organization will allow members of the platform group to access it at any time in their personal settings. A link to the privacy policy will also be displayed at the bottom of the login form when invited users initially connect to the platform.

This applies only to users of the platform group. You can also add a privacy policy for a private group.

  1. In the left sidebar, hover over the platform group (the one with a golden crown), then click settings.svg Settings.
    • If settings.svg Settings doesn’t appear in your sidebar, click on the platform group first, then click settings.svg Settings in the top right of the main section.
  2. In the left sidebar, click Advanced.
  3. Scroll down to the section Privacy policy, and enter the link to your privacy policy.
  4. Click anywhere on the page to save the settings.

Users can see the privacy policy document again by clicking on their profile picture, then Personal settings on the homepage, then on the bottom of the page Display the privacy policy.

Force platform group members to agree to the privacy policy

You can ask platform group members to confirm they read and agree to the privacy policy by checking a box the next time they connect to the platform. This action will be mandatory: group members will not be able to access any page of the platform until they check the box.

Invited users will also have to check that box in their first login form.

  1. In the left sidebar, hover over the platform group (the one with a golden crown), then click settings.svg Settings.
    • If settings.svg Settings doesn’t appear in your sidebar, click on the platform group first, then click settings.svg Settings in the top right of the main section.
  2. In the left sidebar, click Advanced.
  3. In the section Privacy policy, below the link to the privacy policy, check the box Obtain explicit consent from users.

Add a privacy policy for a private group

  1. In the left sidebar, hover over a private group, then click settings.svg Settings.
    • If settings.svg Settings doesn’t appear in your sidebar, click on the group first, then click settings.svg Settings in the top right of the main section.
  2. In the left sidebar, click Advanced.
  3. Scroll down to the section Privacy policy, and enter the link to your privacy policy.
  4. If you want your users to explicitly agree to your privacy policy before using the 360Learning platform, select the check box Obtain explicit consent from users.
  5. Click anywhere on the page to save the settings.

Force private group members to agree to the privacy policy

You can ask private group members to confirm they read and agree to the privacy policy by checking a box the next time they connect to the platform. This action will be mandatory: group members will not be able to access any page of the platform until they check the box.

Adding a moderation charter to your organization will allow members of the platform group to access it at any time in their personal settings. A link to the moderation charter will also be displayed at the bottom of the login form when invited users initially connect to the platform.

This applies only to users of the platform group. You can also add a moderation charter for a private group.

  1. In the left sidebar, hover over the platform group (the one with a golden crown), then click settings.svg Settings.
    • If settings.svg Settings doesn’t appear in your sidebar, click on the platform group first, then click settings.svg Settings in the top right of the main section.
  2. In the left sidebar, click Advanced.
  3. Scroll down to the section Moderation charter, and enter the link to your moderation charter.
  4. Click anywhere on the page to save the settings.

Users can see the moderation charter document again by clicking on their profile picture then Personal settings on the homepage, then on the bottom of the page Display the moderation charter.

Add an imprint for your organization

Adding an imprint to your organization will allow members of the platform group to access it at any time in their profile.

  1. In the left sidebar, hover over the platform group (the one with a golden crown), then click settings.svg Settings.
    • If settings.svg Settings doesn’t appear in your sidebar, click on the platform group first, then click settings.svg Settings in the top right of the main section.
  2. In the left sidebar, click Advanced.
  3. Scroll down to the section Imprint, and enter the link to your imprint.
  4. Click anywhere on the page to save the settings.

Users can see the imprint by clicking on their profile picture, then Personal settings. The link to the imprint will be visible on Settings page of their profile in both web and mobile.
