Import skills, libraries and jobs

This feature requires the Skills solution. For more information, contact your Customer Success Partner (CSP).

Administrators and user administrators can manage libraries, skills, and jobs in bulk by uploading a CSV file.

Using this method will overwrite all existing values for your libraries, skills, and jobs. Make sure to export your skills and jobs first, to avoid losing your values.

We suggest making tests with a single example before adding several lines to a file.

Import skills, libraries and jobs

Step 1: Download the CSV template file

If you already have existing skills, jobs, or jobs-skills, you can export them, and reuse the existing columns, instead downloading a blank CSV template file.

  1. At the top right, click apps.svg Apps → Skills.
  2. In the left sidebar, click Data import.
  3. At the top of the main section, click New import.
  4. In Import type, select the type of import.
    • Libraries will let you import a list of libraries, along with their qualifiers.
    • Skills will allow you to import a list of skills, along with their description, parents, and qualifiers.
    • Jobs will let you import a list of jobs, along with their description and parent.
    • Jobs-Skills will let you associate skills to jobs, and define an expected level for each job.
    • Users-Jobs will let you associate jobs to users.
    • Users-Skills will let you associate skills to users, and define an assessor, an assessed level, and a comment for each skill.
    • Training-Skills will let you associate skills and skill levels to a course or a path.
  5. Click Download the CSV template.

Step 2: Fill in the CSV file

  1. On your computer, open the downloaded file, or import it as a Google Sheet.
  2. Follow the instructions in the sheet How to use this file.
  3. Fill in the information in the second sheet (Libraries, Skills, Jobs, Jobs-Skills, Users-Jobs, Users-Skills or Training-Skills).
    • If you’re importing Jobs-Skills, double-check that the expected level in column C corresponds to a correct qualifier index (higher than 0), otherwise the import will fail.
  4. Generate the updated CSV file.

Step 3: Import the CSV file

Remember: this will overwrite the previous values. If needed, you can export your existing skills and jobs →

  1. In the platform, in the import window, click Browse.
  2. Select the CSV file from step 2.
  3. On the bottom right, click START IMPORT.

If the import has the status PENDING, this means we are handling a large amount of imports. You do not need to recreate the import and can safely leave the page.

Edit skills, libraries or jobs

You can use the CSV import to edit libraries, skills, jobs, the expected level of a skill in a job, the assessor/assessed level or comment of a skill in a user profile, or the skills associated to a course or path, and their level.

The process is identical to importing them: the new values will replace the old ones (leave the cell blank if you want to remove all values).

  1. Follow the same steps as with a regular import (select Libraries, Skills, Jobs, Jobs-Skills, Users-Skills, or Training-Skills in the import type, depending on which type you want to edit).
  2. Fill in the second sheet with the updated values.
  3. Import the CSV file.

Publish or unpublish libraries or jobs

You can use the CSV import to publish or unpublish libraries or jobs in bulk.

  1. Follow the same steps as with a regular import (select Libraries, Skills or Jobs in the import type, depending on which type you want to publish/unpublish).
  2. In the column published, enter TRUE (to publish) or FALSE (to unpublish).
  3. Import the CSV file.

Delete skills, libraries or jobs

You can use the CSV import to delete libraries, skills, or jobs in bulk.

  1. Follow the same steps as with a regular import (select Libraries, Skills or Jobs in the import type, depending on which type you want to delete).
  2. In the column deleted, enter TRUE.
  3. Import the CSV file.

You can import them again by filling in the line and leaving the cell blank in the column deleted.

Translate skills, libraries and jobs

You can use the CSV import to translate libraries, skills, or jobs in bulk. The available languages are listed in the CSV templates. You can translate the following fields:

  • For libraries:
    • Name of the library
  • For skills:
    • Name of the skill
    • Description of the skill
    • Description of the qualifier level
  • For jobs:
    • Name of the job
    • Description of the job

The exact steps are described in the sheet How to use this file of each CSV template. Here’s a general overview of the process:

  1. Download the CSV template
  2. Replace the column titles containing [languageKey] with the two-letter code of the destination language.
  3. For each additional language, duplicate the column and rename it with the two-letter code of that language. You should have one column per destination language.
  4. Fill the column with the value from the translated language.
  5. Import the CSV file.

Translate skills and libraries automatically

You can choose to let Google Translate automatically translate skills and libraries, by leaving the cells empty. This works only upon creation. Changing the default name of a library or skill (with an existing ID) will not update the translated values.

The following fields can be automatically translated:

  • For libraries:
    • Name of the library
  • For skills:
    • Name of the skill
    • Description of the skill

The process is similar to translating manually, with the exception of leaving the cell blank.

  1. Download the CSV template
  2. Replace the column titles containing [languageKey] with the two-letter code of the destination language.

  4. Leave the value blank in the new column.
  5. Import the CSV file.
