Customize the enrollment email for a path

When a learner is enrolled in a path, they receive an automated enrollment email.

Admins, editors, and contributors can customize the enrollment email for the paths they can edit. Customizing the email replaces the default notification for all sessions of that path.

Custom enrollment emails are different from email notifications added as steps inside a path. For more information about email steps, see Schedule an email notification in a path.

If you have the Globalization solution, you can translate this email (just like any step in a path). The contents will then adapt to the recipient, based on their platform language.

Delivery rules

Enrolled learners receive the customized email according to the following logic:

  • Timing: If the session has not started, the email is sent at the next full hour after the session start. If the session has already started, the email is sent immediately upon enrollment.
  • Batching: If a learner is enrolled in multiple paths at the same time, each customized email is sent separately. Non-customized invitations are grouped into a single email.
  • Setting: Learners only receive the email if the notification setting I am assigned to a path session is enabled at both the platform level and individual profile level.

Customize the enrollment email

You can change the subject line, headline, and body text and include an image or attachments. You can also insert personalization tags ([person_first_name], [person_last_name], [person_email], [person_organization]) in the text. Some tags may appear empty for users who don’t have that information yet, such as invited users without a first or last name.

To customize the path enrollment email:

  1. At the top of the homepage, click Paths.

  2. On the right side of the path row, click pen.svg Edit.

  3. In the Build your training section, click Configure settings.

  4. Next to Custom enrollment email, turn the toggle ON.

  5. Click Enrollment email.

  6. In the right-side panel, edit the email content:

    1. Subject line: you can add personalization tags.
    2. Headline: you can add personalization tags.
    3. Body: you can add personalization tags.
    4. Button: you can edit the label. The button always redirects to the path homepage.
  7. To add an attachment:

    1. At the bottom of the body text area, click Attachments.
    2. Drag or drop a file, or click OR SELECT A FILE and select a file from your computer.
  8. To add an image:

    1. Next to Image, turn the toggle ON.
    2. Under Image, click plus.svg.
    3. Select an image.
  9. To preview the email:

    • Click Preview at the top right.
    • The preview shows the branding you, as the email creator, will see. Branding comes from your platform/group settings (for more information, see Customize the colors of a group), and actual recipients may see color variations based on their group membership.
  10. At the bottom right, click Save.

Disable the custom enrollment email

When you disable the custom email, learners receive the default enrollment email instead. The custom email content is deleted.

  1. At the top of the homepage, click Paths.
  2. On the right side of the path row, click pen.svg Edit.
  3. In the Build your training section, click Configure settings.
  4. Next to Custom enrollment email, turn the toggle OFF.
