This feature requires the HCM Connect solution. For more information, contact your Customer Success Partner (CSP).
The SAP SuccessFactors HRIS connector creates, updates, and deletes 360Learning users based on the users of SAP SuccessFactors, every day. The sync goes one way, from SAP SuccessFactors to 360Learning.
360Learning sets up the connector on one group of your platform, the integration group. It can be any group, not only the platform group. To set it up, contact your Customer Success Partner (CSP).
Admins of the integration group can view the connector's synchronizations and configure the Advanced Group Synchronization.
To send content and learning history to SAP SuccessFactors Learning, see Synchronize content and learning history with SAP SuccessFactors.
What the connector synchronizes
The connector creates new users in the integration group. It updates and deletes only the users of the integration group and its subgroups. It doesn't change a 360Learning user who matches an SAP SuccessFactors user but belongs to another part of the platform, and counts them in Ignored users. To sync that user, add them to the integration group or one of its subgroups. The next sync updates them.
Your CSP can also limit the sync to the SAP SuccessFactors users with given field values. The connector doesn't create or update the users who don't match, and leaves the existing ones in 360Learning as they are. When an SAP SuccessFactors user becomes inactive, the connector still deletes them from 360Learning, even if they don't match, unless your CSP applies the filters to inactive users too.
The connector synchronizes the following fields:
| SAP SuccessFactors field | 360Learning field |
|---|---|
userId |
External ID |
firstName |
First name |
lastName |
Last name |
defaultFullName |
Name |
email |
|
businessPhone |
Phone |
title |
Job |
defaultLocale |
Language |
manager |
Manager |
- The connector skips users without an email, a first name, a last name, or an external ID, and counts them in Ignored users. It doesn't update or delete a skipped user who already exists in 360Learning.
- Each sync overwrites the changes made in 360Learning to these fields, except the language. The connector sets the language only when it creates or reactivates a user.
- The connector matches the language of a user to a 360Learning language. A regional locale, such as
fr_FR, matches its language. If the language of a user is empty or doesn't match a 360Learning language, the user gets the language of the 360Learning user who set up the connector. - At each sync, the connector replaces the managers of a user with their SAP SuccessFactors manager. A user who had several managers in 360Learning keeps only that one. If the user has no manager in SAP SuccessFactors, or their manager isn't a user of the integration group or its subgroups, their 360Learning managers stay the same. Your CSP can turn off the manager sync.
- The connector doesn't change the other fields of 360Learning users.
How the connector matches users
By default, the connector matches users by email address. The first time, it uses the email to find the user's profile in 360Learning, and stores the user's external ID on it. At the next syncs, it finds the user by their external ID. A change of email in SAP SuccessFactors then updates the email in 360Learning.
If the new email already belongs to another 360Learning user, the email wins. The connector deletes the user it had matched before, and matches the SAP SuccessFactors user to the user with that email instead. If that user was deleted, the connector reactivates them.
You can also set the connector to match users by external ID instead (a unique ID from your HRIS). Use this option if external IDs are more reliable than email addresses for your users. The connector still uses the email to match a 360Learning user who has no external ID yet. It skips an SAP SuccessFactors user whose email belongs to a 360Learning user with another external ID, and counts them in Ignored users. A change of email never deletes a 360Learning user. Contact your Customer Success Partner (CSP) for help with this.
The external ID is the SAP SuccessFactors userId by default. Your CSP can use the username or personIdExternal field instead.
How the connector creates and deletes users
| In SAP SuccessFactors | In 360Learning |
|---|---|
| A new user is active. | The connector creates the user as a learner of the integration group. |
| A user's status becomes inactive. | The connector deletes the user from 360Learning. It never deletes the platform owner, or a user whose main platform is another 360Learning platform. |
| A user no longer appears. | The connector doesn't delete the user. |
| A deleted user is active again. | The connector reactivates the user as a learner of the integration group. |
By default, created and reactivated users receive a welcome email. Your CSP can turn off this email for all users.
Assign users to groups
By default, the connector adds users as learners of the integration group.
To add users to other groups based on their SAP SuccessFactors fields, see Configure the Advanced Group Synchronization.
Sync other fields as custom fields
Your CSP can sync any SAP SuccessFactors user field to a 360Learning user custom field. To set it up, send your CSP the exact names of the SAP SuccessFactors fields and of the custom fields.
- The custom field takes the value of the SAP SuccessFactors field as is.
- If the custom field doesn't exist, the connector creates it as a text custom field.
- To sync a date as a date, create a date user custom field with the same name before the first sync.
- The connector updates the value at each sync, and removes it when the SAP SuccessFactors field is empty.
View the synchronizations
- In the left sidebar, hover over the integration group and click
Settings.
- In the left sidebar, click
Integrations → Platform integrations → SAP SuccessFactors HRIS.
The connector page shows the date of the last sync and its counts: Created users, Updated users, Duplicated users, Ignored users, Archived users, and Users matching no group rules. Archived users counts the users deleted from 360Learning. Duplicated users counts the SAP SuccessFactors users who share an email or external ID with another SAP SuccessFactors user. The connector skips them.
To see every sync and download its log, click See all syncs. For the details of the logs, see View the HRIS connector synchronization results.
Set up SAP SuccessFactors for the connector
To connect to SAP SuccessFactors, the connector uses an OAuth 2.0 client app that you register in SAP SuccessFactors. Before you start, ask 360Learning for the X.509 certificate of the connector.
In SAP SuccessFactors, log in with an admin account. If you have never used the SAP SuccessFactors API, read "Creating a Technical or API User" on the SAP support portal first.
To check the permissions of the API role:
- Go to Admin Center → Tools → Manage Permission Roles.
- Select the sfapi role.
- Click Permission.
- Scroll down and select Manage Integration Tools.
- Make sure Manage OAuth2 Client Applications is selected.
- If you selected it, click Done, then Save Changes.
To register the client app:
- Go to Admin Center → Tools → Manage OAuth2 Client Applications.
- Click Register Client Application.
- In Application Name, enter
360Learning Client App. - In Application URL, enter your SAP SuccessFactors URL followed by
/idp/token. - In X.509 Certificate, paste the certificate 360Learning sent you.
- Click Register.
- Next to the app, click View.
- Copy the API Key.
Send the following to your Solution Architect:
- The user ID of the SAP SuccessFactors user who registered the app.
- The API URL of your SAP SuccessFactors instance, from the list of SAP SuccessFactors API servers.
- The API key.
- Your company ID. It appears at the end of the SAP SuccessFactors URL when you're logged in as an admin, after
bplte_company=.
The certificate is valid for one year by default. When you change it, tell 360Learning support so they can update the connector.
