Publish a program session in the catalog of a group

  • Updated

Adding a program session to the Catalog of a group allows members from that group to play the session without being invited.

If the session contains a Classroom slot with a maximum number of seats, learners can still register to the session if all Classroom slots are full, but they will not be able to attend the Classroom slot.

A session from the Catalog may only be played once.

You can add up to 10,000 program sessions in the Catalog of a single group.

Add a session to the Catalog of several groups

  1. At the top of the homepage, click Program sessions.
  2. On the right of the name of the session, click edit.svg Edit.
  3. In the section Session general properties, click Advanced options.
  4. On the right of the line Catalog, click +.
  5. Check the groups.
  6. On the bottom right, click CONFIRM.

You can remove the program session from the Catalog of the groups by following the same steps, but unchecking the groups at step 6.

Automatically add sessions to the platform group's Catalog

Through advanced settings, platform administrators can automatically add newly created program sessions and path sessions to the platform group catalog (regardless of the permissions of the user creating the session).

  1. In the left sidebar, click on the platform group.
  2. At the top right of the main section, click settings.svg Settings.
  3. On the left, click Advanced.
  4. Scroll down to the Content visibility section.
  5. Check the box next to Path and program sessions are in the platform group’s catalog.

This is a unique option for both program sessions and path sessions. If you had previously activated the option for program sessions, it now applies to path sessions as well.

The option is not retroactive. Only sessions created after the box is checked will be added to the platform group catalog.

Add a validation step to a session

Learners will see a button REGISTRATION REQUEST instead of the button SIGN UP.

You can check registration requests by clicking Validations at the top of the home page and open the Registration requests tab.

  1. At the top of the homepage, click Program sessions.
  2. On the right of the name of the session, click edit.svg Edit.
  3. In the section Session general properties, click Advanced options.
  4. Check Require validation of open access registrations.
  5. Select Validation by the instructors or Validation by the learners' managers.

If you select Validation by the learner’s manager, but the Learner has no manager, then the validation request will be sent to the session Instructors.

Add a maximum number of seats to a session

You can define a maximum number of Learners who can self-register simultaneously to a session.

Session Instructors can still manually assign users, regardless of the maximum number of seats.

  1. At the top of the homepage, click Program sessions.
  2. On the right of the name of the session, click edit.svg Edit.
  3. In the section Session general properties, click Advanced options.
  4. Check Limit the number of seats for open registration.
  5. Enter the number of maximum seats.
  6. On the bottom right, click OK.

When the limit of Learners is reached, Learners trying to register are added to a waiting list. You can check the waiting list, and email users, by clicking see details below Waiting list the session's stats page.

A seat becomes available if a Learner clicks Free my seat in the session homepage, or if a session Instructor unassigns a self-registered user. A notification is then sent to the first person in the waiting list.
