Managing Documents

When creating worksheets or questions, you’ll probably need to upload documents to the platform.

1 – Formats compatible with the platform

  • All Microsoft Office formats
  • Images: gif, jpg, png, bmp, ico
  • Videos: 3gp, avi, flv, m2ts, mv4, mkv, mov, mp4, mpeg, mpg, mts, vob, webm, wmv
  • Flash Modules

Please Note: Larger files may require more time to upload onto the platform 

 

2 – Integrating a document

From your computer:

  • From the course editing menu, click on the arrow icon Add a Document 
  • Click on the icon that corresponds to the file format you want to upload (PDF, PPT ..)
  • Choose a document to upload

From the Internet:

  • You can integrate links (URL or via an “embed code” / “iframe code”) from YouTube, Dailymotion, Vimeo, Prezi, Slideshare, Google Docs, ThingLink, Genially, Adways, Tiki Toki…and more than 2,000 other formats.
  • From the course editing menu, click on the arrow icon Add a document
  • Paste the URL or document embed code (ex: YouTube video) in the address bar

3 – Updating a document

To replace a document in a single course:

  • Navigate to the course editing menu
  • Click on the gear icon for the activity in question
  • Click Update File from the menu that appears and choose a new document
  • Remember to save your changes to finalize the update

To replace a document used in multiple courses:

  • Navigate to the Setting and Members > Documents menu
  • Click on the document that you want to update
    • For a document : click Update the File from the menu that appears and choose a new document
    • For a video/embed code : paste the new link into the address bar 
  • Remember to save your changes to finalize the update

 

4 – Accessing documents

Documents are visible in the “Documents” section of a program. From your profile, you’ll also see:

  • Documents from courses of your training programs: only the documents that you have unlocked by viewing the associated courses are visible
  • Documents from courses taken outside of a training program, directly from the catalogue

5 – Search for a document on the platform

You can easily search for a specific document on the platform by following these steps:

  • Hover over your profile photo and click on Settings and Members
  • Click on “My Documents”
  • Next, click on the magnifying glass icon
  • A search bar will appear and you can search for a document

Tip: You can narrow your search by filtering documents by location or file type.  

 

6 - Deleting a document

To delete a document from a course: 

  • Navigate to the course edition menu
  • Hover over the activity that contains the document and click on the cross
  • Click to delete the document (you’ll need to confirm your choice)

To delete a document from the document management menu:

  • Hover over your profile photo and click on Settings and Members
  • Select My Documents
  • All of your documents will appear. You can then delete a document by clicking on the “X” located on the right of each document.

Please Note: you cannot delete documents that are being used in a course.
